Retreat-September 26th-28th
– Over all, the activity was a success. Concerns were brought up regarding the fact that professors were not encouraged to go.

– Suggestions:
- Have the retreat on a date that is farther from BMES.
- Think about doing the retreat during week days.
- Second and third year students were under the impression that they could not go if they had nothing to present. Next time, they should be encouraged to present but not forced to. Instead, PhD candidates who have already passed their quals and students close to wrapping up their Masters theses could be asked to present.
GSA REP Input:
– GSA will give a small portion of money to departments that had orientation for new recruits. — Iwan will find out more about the process and paperwork involved. We will need to submit applications for the Retreat and the Welcome BBQ. Christal has all receipts necessary for the paperwork.
Welcome BBQ-October 9th
– Committee members thought this event was handled quite well. Putah Creek Lodge was the perfect location for this event.
Track Specific Discussion-October 24th from 12-2pm
– Matt and Erica will take care of the lunch ordering and delivery. After much deliberation, we decided to go with pizza from “Village Bakery”. Erica will send email to students reminding them to RSVP for the event (to have an estimate of the amount of food we will need to purchase). She will also ask them to name their track and lab that they are working in.
– We will need to contact volunteers from each lab to attend and answer questions. Each group will have a person that is going to lead the discussion:
- Cell/Molecular: Sunny
- Biomechanics: Crystal, Matt
- Imaging: Jen
– Reminder: Ask faculty to update their write-ups and to state if they are in need of students. Sunny will send email today (10/17/08) to faculty reminding them.
– Timeline: First 30 min or so will be spent together having lunch in 2202 and then we will separate into the three assigned rooms (2202, 3202, and 3206) according to our tracks.
– Jason suggested that we do lab tours with first years that are interested in particular labs. We decided to leave this up to individual students. If they want to arrange a lab tour, they will talk to a senior student in that specific lab.
Halloween Party, Oct. 31st, 3-5pm
– Erica and Matt will be in charge of assigning judges for the costume contest and for bringing three $15 gift cards for prize winners.
– This year, we will invite the undergrad BESA to join us. Because of the number of people that might show up, we will have the event either in the student lounge on the 3rd floor, in the lobby or outside the building.
– People will RSVP through the forum (Kavya will be in charge) on the BESA website. Because the site needs people to register in order to participate in the poll, we considered eliminating the registration process and making it public, so that undergrads who are attending can take part in the poll without registering.
– To accommodate people that will come from Sacramento, we decided to change the event from a lunch gathering to an afternoon gathering. Instead of an early dinner, we will do a Potluck.
BME Holiday Party, Rec. pool at Dec. 6th, 6pm
– It was suggested that we have a talent competition during this event. But, the idea was vetoed. To get more people involved, maybe we will do a karaoke. We will discuss this idea during the next meeting. At the very least, we will have music in the background. Erica is planning to make a Christmas song compilation for the event.
– A theme was suggested for the event this year: “Ugly Christmas Sweater Party”. Details will be discussed during the next meeting.
– We will need volunteers.
Student/Faculty Lunch, Friday Nov. 21st
– This year we will do an early Thanksgiving lunch for the department.
T-shirts:
– We will encourage people to send in designs for the BME T-shirt logo and students and faculty will vote for the winning design. We will have the T-shirts made by the end of this year.
– People participating in IM sports have to have uniforms. We could supply our teams with the old BESA T-shirts. We will bring these shirts to BESA events to sell them faster.
Next meeting:
– Plan and organize before Nov. 21st.
– “Present Wrapping” and “Penny Collection” as a funding source
– Discuss plans for next year’s events: camping, hiking, etc.
