Orientation- September 24th
– Officers will start to arrive at 3:00pm in Kemper’s back lobby.
– Reminder: At that time, we will hand out information packets (3 pages full of important dates and flyers of events), and we will also give out sign-up sheets for BESA positions (GSA reps) and volunteers for IMs (Crystal) and community service (Jen). Erica and I will introduce the idea of what being a GSA rep means, what their roles are, and how the meetings work. We will also bring the GSA paperwork filled out for them so that they need not be bothered by applications.

BESA Forum
– Kavya started work on the BESA forum that will be linked from the website. She will also keep updating the website.
BME Holiday Party
– This event will take place at the Rec Pool Lodge at 6:00pm on December 6th.
– It was suggested that we could have a talent competition during this event. We will take our final decision on this issue during the next meeting.
Retreat-September 26th-28th
– The schedule will be as follows:
- Dinner and Poster session on Friday night
- Saturday morning talks (4 talks, 15min. each) followed by lunch
- Free time on Saturday afternoon
- Dinner and student interaction time followed by Poster session II
- Sunday talks followed by lunch
– Sunny will send out a list of activities for Saturday afternoon.
Community Service (Jen)
– Jen has been working on finding community service activities:
- At Christmas, we could participate in “Adopt a family” which was also done last year
- Plan an outreach trip for high schools. Tonya suggested that we plan the trip to target kids in middle school instead.
- Heath Fair
- Breast Cancer Walk in Sacramento.
- She will be in charge of sending out an email to recruit volunteers for these events.
Welcome BBQ-October 9th
– The Welcome BBQ is going to be held at Putah Creek from 4-9pm. We have to start preparing at 5pm, and start serving food at 5:30pm. We will meet at 4pm.
– Jen is in charge of the event and will check the BME office closet for BBQ necessities that might have been left from the last BBQ. She will not use the Dean Witter Fund for this event.
– Adult beverages will be provided by Tonya/Christal.
– We need about 4 grill masters (volunteers) and a person carrying the food from the grill to the table to avoid unnecessary lines. Volunteers for the jobs (so far…):
- Grilling: Matt
- Runner: Diana
- Clean up: Sunny and everyone else that lends a helping hand.
– We will host the Dessert competitions once more and we need to get a gift card for the winner. Each dessert will be identified with a number to establish anonymity.
– For entertainment, people will bring volleyball, Frisbee, and footballs (make sure there is enough light for outdoor games). Tonya will bring wiffleball equipment. Jen will contact a guest band to perform at the event as well.
Track Specific Discussion-October 24th
– Matt and Erica will take care of the lunch ordering and delivery. Sandwiches were suggested.
– We will need to contact volunteers from each lab to attend and answer questions. Each group will have a person that is going to lead the discussion:
- Cell/Molecular: Sunny
- Biomechanics: Crystal, Matt
- Imaging: Jen
– Reminder: email professors to see how many of them are recruiting students and have that list accessible for the new students.
