Introduced officers and responsibilities:
– Introduced ourselves and discussed what our roles are.
Budget:
– Cathy/John: $26.24 in account. Cathy needs to transfer account to John.
– Christal: $500 for the summer.
– BESA receives $500 every quarter from department and $300 from GSA when the reps attend their meetings.

Schedule of events:
– BESA committee members were assigned an event to organize. We should email the president stating the event that we want to organize applying the “first come, first served” rule. Each officer will do one event in addition to their duties.
– There are 6 events. We discussed the possibility of changing the events or the dates that these were taking place. We could also come up with other events, but we have to consider its funding.
– Thinking of moving camping to April because of retreat. Matt and Erica will be in charge of the camping trip.
– We decided to organize the summer BESA BBQ on August 16th. The person in charge will be held responsible for location and planning.
– Prepare Package for New student orientation at 2pm-4pm on September 24th. It should include what BESA does, contact info of the officers, events calendar, etc. We would also encourage them to join the BESA by becoming GSA reps. Erica and Diana will provide an explanation of how the GSA works and help new GSA reps to get settled.
– The BME retreat will take place on the weekend of September 26-28th. Sunny will take care of the carpooling. We have to take care of the Poster Session set up and clean up afterwards, plus other events. They may provide team building exercises but it will cost extra.
– We decided to do the Track Specific Discussions Lunch on August 24th. We will try to schedule one room per each track to make it easier for new students. However, before that date, we need to send professors an email to find out if they are accepting new grad students in their labs. The week after is the Halloween event, which we should be ready for.
– For the Student/Faculty lunches, we can ask for funding from the Dean Witter fund. Remember to include list of participants and to state that it promotes faculty and student interactions. Another idea was to do a lunch at the medical center at Sac to include the BME members who work there.
BME T-shirts:
– The T-shirts need to be done by September. However, we didn’t come to a decision regarding the design of the logo to be imprinted on the T-shirts: should we have a competition or decide to contract someone to make the design? Kavya is the main person in charge of T-shirts.
