Administrative Details:
- Finances
- We have a substantial amount of money
- Need to double check with Mike as to how much, exactly
- Meetings
- Meetings will tentatively be scheduled for the last week of the month
- Potentially the third Thursday of the month
Orientation:
- Christal will have nametags for everyone to wear
- Jake will get a copy of last year’s information packet & Christal will make the appropriate copies
- BESA will talk to the first-years at the end of the first block, allowing for more informal discussions during the break
Welcome BBQ:
- Begins at 5pm, arrive and set-up @ 4
- Held at the Rec Pool
- Grill masters: Charles, Katie, Laura and possibly Jake
- Runner: Rachel
- Clean-up supervisors: Tun, Mallika and ?
- Clean-up will be a community effort but the supervisors will do the final run through at the end of the night
- Dessert contest
- Put names/numbers next to desserts
- Label what desserts are
- Advertise in email/flyers that are sent out
- Make a standardized entry form people can obtain online, prior to the BBQ
- Shopping for food:Caroline & Jen need lists for Costco food and regular grocery store food
- Beverages: Tonya will take care of it
Activities at Welcome BBQ:
- Volleyball & Football->Jake
- Frisbee->Rachel
- Parking
- There is a parking lot behind the Rec Pool (to the West)
- On campus parking fees apply
Summer BBQ/Get together:
- Potluck
- West Manor Community Park
- Informal
- Need to set a date
Camping Trip:
- Will occur on the weekend of Sept 30/Oct 1; Crystal Basin Area
- Be responsible for/rent your own equipment
- Be prepared for very cold weather
- Mike & Sonny can communicate regarding sorting out the details
Track Specific Discussions:
- Friday, October 13th – Room 2202
- Will be a pizza lunch
- Need volunteers from each track
Shirts:
- Have those interested subsidize the cost of shirts
- Katie will be in charge of an IM sports shirt contest
- Will have a Graduate Group contest also
- Entries will be accepted from anyone
- Have 1 month to generate and submit designs (deadline: Halloween)
- Will have 2 weeks to vote, online – Charles can set this up
Prelim Q & A Session:
- Address questions from students
- What to expect/How to study/What to study
- Tentatively scheduled for middle of Fall quarter
- Make it an unofficial session at November stu/fac lunch?
Action Items:
- Charles, Jen and Caroline will be in contact/have a meeting regarding what to buy, when to buy it, etc (DONE)
- Katie will discuss how much food to buy with her mother and get in touch with Charles, Jen and Caroline (DONE)
- Charles will reserve room 2202 for Track Discussions on October 13th (DONE)
- Rachel will find out prices for shirts/colors/etc
